  • Title: Executive Assistant

The Executive Assistant position is responsible for providing the highest level of support to the Executive Team in a fast-paced, evolving environment.

 

ESSENTIAL FUNCTIONS:

  • Promote the mission, vision, and values of the organization.
  • Act as the point of contact among executives, employees, franchisees, and other external partners. Maintain business relationships.
  • Manage information flow in a timely and accurate manner.
  • Manage complex calendars, arrange for meetings, appointments, conferences, and travel.
  • Prepare reports, board packets and/or special projects which may include data collection, coordination, final copy preparation, distribution, etc.
  • Protect operations by keeping information confidential.
  • Financial records management (updating expense accounts, checking corporate credit accounts, and processing payment requests).
  • Review and analyze submissions, letters, agendas, memos and determining significance, routing to appropriate personnel in a timely and efficient manner.
  • Prepare executive responses to routine memos, letters, or correspondence.
  • Record meeting discussions and provide minutes, as necessary.
  • Develop and maintain documentation and filing system
  • Maintain knowledge by attending professional and technical educational seminars and workshops; review publications; establish professional and personal networks within the industry.
  • Other duties as assigned.

 

REQUIRED SKILLS:

  • Outstanding organizational and time management skills
  • Excellent verbal and written communications skills.
  • Self-motivated, proactive, and forward-thinking.
  • Ability to work in a fast-paced team environment.
  • Uses multiple technical applications including word processing, database management, spreadsheets, graphics and presentation software, electronic calendar, email, and other technical/scientific applications. Uses Internet.
  • Diplomatic and tactful.
  • Discretion and confidentiality.

 

EDUCATION AND EXPERIENCE:

  • Bachelor’s degree preferred, but not required.
  • Three to five years of administrative experience.
  • Three to five years of executive assistant experience.
  • Experience managing multiple calendars.
  • Experience booking travel.

Physical Requirements


  • While performing the duties of this job, the employee is frequently required to sit, talk and hear
  • The employee is frequently required to walk, type data, operate business machines and office equipment
  • The employee must frequently lift and/or move 5-10 lbs. and occasionally lift and/or move up to 20 lbs.
